TERMS OF PARTICIPATION:
  • Exhibitor refers to any company, partnership, firm, or individual allotted space for participation, including their employees, staff and agents
  • Exhibition refers to the trade show titled MF INDIA 2026
  • Organisers refer to the MF INDIA 2026 Committee, located at IV Floor, AIEMA Golden Jubilee Tower, 4th Street, Ambattur Industrial Estate, Ambattur, Chennai – 600058
  • Exhibition premises include the exhibition halls, outdoor area, and parking spaces at the Chennai Trade Centre, Chennai
  • Event focus: MF INDIA 2026 is dedicated to the range of products and services listed on the official website www.mfindia.net
  • Product display rule: Only new products and services within the approved product groups may be exhibited. Used or reconditioned machines are strictly prohibited. The organisers’ decision on this matter will be final

Booth Blocking Advice and Booth Allotment Advice:

  • Upon receiving the online space booking application, the MF INDIA 2026 Organising Committee will review it and, if found suitable, will block space and issue a booth allotment advice. Allotment will be confirmed only after the applicant remits the advance participation charges within 8 days against the proforma invoice
  • Applicants must remit the advance booking charges within the stipulated 8 days of receiving the space allotment advice. If payment is not made within this period, the blocked space will be released and allotted to other applicants at the discretion of the Organising Committee
  • Participants are required to pay all applicable taxes as levied by the Government from time to time. The payment schedule mentioned in the proforma invoice must be strictly followed. Non-compliance may lead to cancellation of the space allotment, and any part payments made will be forfeited
  • After receiving the first instalment of advance, the MF INDIA 2026 office will provide the exhibitor with a user ID and password to access the Exhibitor Page for directory listing, service requirements, and updates. The deadline for updating information will be specified on the Exhibitor Info page of www.mfindia.net

CANCELLATION:

  • No cancellation or reduction in space booked will be allowed once the application submitted by the participant is accepted by the organisers. In the event of the applicant seeking to cancel the booking or reducing space requirements, the advance paid by the applicant will be forfeited, and the booth blocked will be released/allotted to those seeking it. The decisions of the organisers are final in such matters.

STAND SIZE, CONSTRUCTION, DISPLAY:

  • No alteration to the size of an Exhibitors' stand is permitted without the prior written approval of the organisers
  • The organisers may require exhibitors to make modifications to their stands to prevent interference with neighbouring displays or to meet public safety requirements.
  • The organisers reserve the right to modify the floor plan, including booth locations and passages. Allotment decisions are final and binding.
  • Booth positions shown in the floor plan are indicative. In case of variations, the booth number allotted will be the valid basis for occupancy.
  • Exhibitors must avoid booth designs that block the view of other participants.
  • Stands must not extend beyond the allotted area. No obstructions are allowed on gangways, fire points, extinguishers or emergency exits. Booth height must not exceed 2.5m.
  • Booth decoration is permitted within the allotted area as per the exhibitor guidelines. However, exhibitors must not damage walls, panels, or floors (e.g., by using nails, paints, or adhesives).
  • Bare space and shell scheme exhibitors intending to construct their own booths must submit design and construction plans by 31st July 2026 for prior approval from the organisers. Work may begin only after written approval. To ensure safety and reduce air pollution inside the halls, exhibitors are advised to use prefabricated booths. Welding, cutting or any activity generating dust, sparks or fumes is strictly prohibited. Exhibitors must inform their contractors accordingly.
  • Equipment or exhibits producing excessive noise, vibration, heat or electrical interference will not be permitted to operate, though static display may be allowed. The organisers’ decision is final.
  • All on-site electrical installations must be carried out only by the officially appointed electrical contractor before connecting to the main supply.
  • Hoardings, banners or displays within or around the exhibition premises are not permitted unless design, specifications and location are pre-approved by the organisers. Any unauthorised display will be removed without notice.
  • Exhibitors are liable for any damage caused to the exhibition halls or venue by their stand, exhibits, staff or contractors and must indemnify the organisers against such claims.

INSURANCE:

  • Insurance cover for the exhibits and the property of the stands and staff of exhibitors and their agents, will be the responsibility of individual exhibitors.
  • The organisers shall not be responsible in any way for personal injury to the exhibitors or their staff, agents, invitees or licensees however caused.

SECURITY:

  • Although 24 hours security service will be in operation for the overall exhibition, the security of the individual exhibits in the booth will be the responsibility of the exhibitors. Exhibitors should take all possible precautions to avoid loss or damage to the exhibits both during and outside exhibition hours.
